About the position

Duties
This position provides a full range of executive services and support to the Field Unit Superintendent. The primary responsibility for this role is to effectively manage the office. Given the nature of this work, we are seeking an individual who can accurately and professionally manage the constantly changing priorities and sensitive situations. Abilities being sought for this position include attention to detail, sound judgment, discretion, computer competency, and effective interpersonal skills. Other duties associated with this position include communicating with field unit managers and team members, National Office colleagues, stakeholders and the public; scheduling meetings; making travel arrangements; as well as the preparation and handling of sensitive documents, files and dockets.

Parks Canada is a federal government agency responsible for the protection and presentation of Canada’s outstanding natural and cultural resources through a system of national parks, national marine conservation areas and national historic sites in all regions of Canada.

EXPERIENCE – STREAM 1 (AS-01):
• Recent* and significant** experience providing administrative support services such as purchasing, material management, records/information management, processing financial and human resources records, data entry, preparing correspondence, arranging travel and meetings, recording minutes, and/or managing multiple e-mail and calendar accounts.
• Experience planning, organizing, and prioritizing work within an office environment with changing demands.
• Experience preparing, editing, and formatting written correspondence such as reports, letters, and emails.
• Experience in working in a client serviced environment such as responding to requests for information from internal and/or external clients.
* Recent experience refers to experiences acquired in the past 5 years.
** Significant experience refers to experience acquired as a main component of your work responsibilities for a minimum of 1 year.
EXPERIENCE – STREAM 2 (AS-02)
• Significant* experience providing administrative support services**
• Significant* experience analyzing, processing, and preparing correspondence to internal and/or external stakeholders.
• Experience using productivity tools such as Microsoft Word, Excel, and PowerPoint.
• Experience maintaining, tracking and managing files, records and correspondence.
• Experience tracking, following up and consolidating responses for action items.
• Experience providing guidance and recommendations to clients both internal and external to Parks Canada.

ASSET EXPERIENCE - STREAM 1 (AS-01):
• Experience working with organizations in protected area management and/or Indigenous government.
• Experience working with confidential human resources related data such as payroll, staffing and employee data.
• Experience tracking or monitoring finances for a business unit, such as managing a budget.
ASSET EXPERIENCE – STREAM 2 (AS-02):
• Experience coordinating administration activities and/or office management
• Experience in information management and/or central records in the federal government
• Experience providing financial administration support to a manager, such as procurement, budget monitoring and reporting, and expense claims
• Experience providing administrative support to an executive or manager such as time management, travel arrangements, meeting minutes, and file management.
