About the position

Duties
The incumbent of the Administrative and/or Operational Assistant position provides essential support to the work unit. He or she supports managers and team members, including but not limited to, by performing the following tasks: researching and providing information, processing administrative and financial requests, entering and managing information in various systems, coordinating meeting logistics, and contributing to the improvement of work processes and procedures.

Intent of the process
The intent of this process is to staff various positions within the RCMP’s “C” Division (Province of Quebec).
A pool of partially or fully qualified candidates may be established and used to staff similar or identical positions, including but not limited to Information Processing Clerk, Information Processing Officer, Detachment Services Assistant, or other positions within the RCMP, for determinate or indeterminate periods and/or security clearance requirements (Enhanced Reliability, Secret or Top Secret) and/or language profiles may vary depending on the position.
If a civilian member (CM) is deemed qualified and considered for appointment, the appointment will not result in a change of status to the public service employee (PSE) category for the CM.

Conditions of employment

Security requirements: Various levels of security clearance (from Royal Canadian Mounted Police Enhanced Reliability Status to Royal Canadian Mounted Police Top Secret)
❗In accordance with the Treasury Board of Canada Secretariat, Directive on Security Screening (effective January 6, 2025), Canadian citizenship is required to obtain a Top Secret security clearance.

Operational Requirements

EDUCATION:
Successful completion of two years of secondary school or *employer-approved alternatives.

• A satisfactory score on the Public Service Commission test approved as an alternative to two years of secondary school; or
• An acceptable combination of education, training and/or experience.

EXPERIENCE:
Recent** experience providing administrative support services with a minimum of FIVE (5) of the following:
• Logistical organization of conferences or videoconferences;
• Preparation of contextual documents for meetings and/or taking meeting minutes;
• Electronic calendar management for others;
• Data entry;
• Processing of correspondence;
• Financial processing (invoice, purchase orders, etc.);
• Ordering office supplies;
• Sorting and filing documents according to established classification systems;
• Processing of travel requests;
• Writing documents;
• Answering to telephone, in-person or electronic inquiries;
• Analysis of data and/or documentation to verify accuracy, completeness and compliance.
Significant*** experience providing service to clients (in person, over the phone or in writing).
Experience using Microsoft Office 365 suite software, including Word, Excel, PowerPoint and Outlook.
** ‘’Recent’’ is defined as an experience obtained within the last three (3) years.
*** ‘’Significant’’ is defined as six (6) months or more of continuous work.

EDUCATION:
Diploma of vocational studies (DVS) or an Attestation of collegial studies (ACS) or a Diploma of collegial studies (DCS) in office administration.
Degree (Diploma of collegial studies (DCS), certificate or degree) in the fields of archival studies, information management, or records management.

EXPERIENCE:
Experience working in an environment related to the enforcement of regulations or the law.
Experience reviewing administrative documents and/or emails, including correcting language errors and improving clarity and quality of written communications.
Experience providing administrative support related to budget forecasting, including the use of financial tools or systems (e.g. SAP).
Experience using computerized information management systems, including the processing, entry, and updating of information in databases such as PROS, Microsoft Access, Database, Oracle, or other comparable systems.
Experience providing information management services (e.g. classifying information, archiving files, etc.).
Experience using collaboration tools or applications (e.g. Microsoft Teams, Zoom, Webex, SharePoint, etc.).
